One calendar view across every client account

The Calendar page in TrackHeros shows the meetings from every Google and Microsoft account you have connected in one read-only view, coloured and labelled by client. It covers Google Meet and Microsoft Teams meetings from yesterday to about two months ahead, for professionals who hold a separate account per client and want to see the week without switching accounts.

TrackHeros puts the meetings from every Google and Microsoft account you have connected on one Calendar page, so you can see the week across all your clients without signing in to each account in turn. It is part of one AI notetaker for every Google and Microsoft calendar you hold, and it is for freelancers, consultants and anyone who keeps a separate account per client. It shows Google Meet and Microsoft Teams meetings, and it is read-only.

What does the unified calendar show?

Every meeting TrackHeros knows about, from every connected account, in one place. That means the upcoming Google Meet and Microsoft Teams meetings synced from your calendars, the meetings the bot has already recorded, and any meeting you sent the bot to by pasting its link.

The page has two tabs. Calendar shows a day, week or month grid and opens on whichever of the three you used last. List shows the same meetings as rows, newest first. Clicking a meeting in either opens its page, with the transcript, the notes and the bot's settings.

A meeting you sent the bot to without a scheduled time is placed at the moment you sent it, so it does not vanish from the grid right after you created it. Meetings from your own calendar that you have not filed under a client yet appear too, without a client label.

Why is it read-only?

Because the invitation does not live in TrackHeros. It lives in the client's Google Calendar or Outlook, on the account that received it, and that is the only place where a change reaches the other people in the meeting.

A second place to edit would be a second source of truth. Move a meeting in TrackHeros and the client's calendar would still show the old time; the organiser would see nothing; and the next sync would put it back. So the calendar is for looking: seeing the week across clients, spotting two calls that collide, checking what the bot is about to do. Acting happens where the invitation is.

Read-only also matches the permission. TrackHeros connects calendars with read-only access, so this page could not change them even if it offered a button. The one calendar that gets write access is one you choose yourself for a booking link, and it is used only to create, move and cancel the appointments booked through it.

Where do I change a meeting?

In Google Calendar or Outlook, from the account that received the invitation. Reschedule or cancel there, and TrackHeros follows on its own.

Changes reach TrackHeros by push notification from Google and Microsoft, with a full re-read every 15 minutes as a backstop. A rescheduled meeting moves on the calendar and the bot moves with it. A cancelled one cancels its bot. What you can change inside TrackHeros is the notetaker's side of a meeting, on the meeting's own page: whether the bot joins, and later the notes it wrote.

How are clients told apart?

By colour and by name. In the all-clients view each meeting is coloured by its client and carries the client's name on a second line under the title, so a week column reads as "Weekly sync, Client A" rather than a block of titles.

Filtered to one client, the question "whose meeting is this?" is already answered, so the colour switches to what the bot is doing: waiting, joining, in the call, finished or cancelled. A meeting whose bot failed is red in both views, and red is kept out of the client colours so a failure always reads as one.

Client colours come from a small palette. Once you have more clients than colours, two clients will share one. The label under the title is what to trust; the colour is a quick glance, not an identifier.

The view is labelled rather than merged: each meeting still belongs to one client's workspace, and opening it takes you inside that workspace. How that separation is enforced is on client workspaces that never mix.

Which events appear, and which do not?

Only events that carry a recognised Google Meet or Microsoft Teams link, on each account's main calendar, from yesterday to about two months ahead. Everything else on your calendars stays off the page.

Appears Does not appear
Events with a Meet or Teams link in the conference data Events with no meeting link: lunches, focus time, travel
Events with the link in the location field or the description Events on secondary, shared or subscribed calendars
Forwarded Teams invitations and links wrapped by Microsoft Safe Links Events more than about two months ahead
Meetings you sent the bot to by pasting a link Meetings of archived clients, in the all-clients view

Two consequences are worth knowing. A meeting that sits on two calendars of the same client appears once, because TrackHeros recognises it as one meeting with one bot. The same call on two different clients' calendars appears twice, once per client, because meetings are never matched across clients; the same meeting on two calendars explains why and what to do about it.

Where do I see whether the bot will join?

On the meeting's own page, not on the calendar. Click the meeting and its page shows whether the bot is set to join and which setting decided it.

Auto-join is three levels: this meeting, then this recurring series, then your account default, which is on. The most specific setting wins, so you can switch the bot off for one sensitive call without touching the rest of the series, or off for a whole series without touching your default. A meeting from your own calendar that you have not filed under a client never auto-joins; its page says so, and once you file it under a client it follows your usual setting.

Declined invitations are not skipped on their own. If you have declined a meeting and do not want the bot there, switch auto-join off for it on that page.

The calendar shows where you are going to be. The meeting page decides whether the notetaker goes with you. How each account reaches this view in the first place is covered in connecting Google Calendar and Outlook to one notetaker.

Questions

Frequently asked

Can I accept or reschedule an invitation from the TrackHeros calendar?

No. The calendar is read-only on purpose. Accept, decline and reschedule in Google Calendar or Outlook, on the account that received the invitation; TrackHeros picks up reschedules and cancellations on its own. Declining does not stop the bot, so switch auto-join off on the meeting's page if you do not want it there.

Why do two of my clients have the same colour?

Client colours come from a small palette, so with more clients than colours two of them will share one. In the all-clients view every meeting also carries its client's name under the title, and that label is the thing to trust.

Does the unified calendar show my secondary or shared calendars?

No. TrackHeros syncs the primary calendar of each Google account and the default calendar of each Microsoft account, so secondary, shared and subscribed calendars do not appear. Only events on those main calendars that carry a Google Meet or Teams link become meetings.

Do archived clients still appear on the calendar?

No. Archiving a client takes its meetings out of the all-clients view, along with every other cross-client screen. Its data stays, and filtering the calendar to that client still shows them.
