Action items
Action items from every client meeting, with an owner and a date
After every Google Meet or Microsoft Teams call it attends, TrackHeros lists the action items: the task, the owner as heard, and the due date as said and resolved. Owners who were not in the meeting are flagged. Items are ticked, edited or deleted on the meeting page, and one Action items page lists every client's, each row labelled. For freelancers and consultants with several clients.

After every Google Meet or Microsoft Teams call the notetaker attends, TrackHeros writes down the action items: what was committed to, who took it on, and by when. Each item sits on its meeting page, inside the client it belongs to, and one Action items page lists every client's together with a client label on every row. This page is for freelancers, consultants and anyone who needs to know, on a Monday morning, what they owe each client and what each client owes them. The rest of the summary is on the minutes page.
What does an action item contain?
A task, an owner, a due date and a done checkbox, attached to the client and the meeting it came from.
| Field | What it holds |
|---|---|
| Task | What was committed to, in one sentence |
| Owner | The person the work sits with, by the name heard in the meeting |
| Due | A date resolved from what was said, with the spoken phrase kept |
| Done | A checkbox, ticked by you |
| Client | The client whose meeting it came from |
| From meeting | A link back to the meeting it came from |
How to word a good one, whatever tool you use, is in how to write action items.
How is the owner decided?
The owner is the name heard in the meeting, never a guess at who it ought to be. If that name does not match anyone recorded in the meeting, the item carries a Not an attendee chip, explained as: "This name did not match anyone recorded in the meeting — verify before acting on it."
That flag catches the two errors that cost the most trust. One is a misheard name: a commitment made by Tom written down against someone who was never on the call. The other is a person who was talked about but not present, as in "Priya in finance will send the figures", which is a real commitment that nobody in the room can keep for her. Either way you see the flag before the item reaches a client. Where nobody was named at all, the item is left without an owner rather than given one. How are due dates handled?
Due dates are kept as they were said ("end of next week", "before the demo") and resolved to a calendar date. The Action items page shows the date, or the phrase itself when it does not point at one, and marks an item "overdue" or "today" when that applies.
Keeping the phrase matters because people rarely say a date. "After the board meets" is what the client agreed to, and a resolved date alone would hide that. Keeping the date matters because a list of phrases cannot be sorted.
Can I correct or remove an action item?
Yes, on the meeting page. Each item has three controls:
- A done checkbox.
- Edit, for the task, the owner and the due date. An item you have edited shows an Edited chip, so a corrected item is never mistaken for the transcript's version.
- Delete, for something that was never a real commitment. The dialog asks "Delete this action item?" and warns: "It won't come back if the minutes are rewritten."
Inside one client, the assistant can do the same when you ask in that client's chat: edit an item, tick it done or delete it. The read-only chat across all clients changes nothing. The assistant is described on search and ask across a client's meetings.
Where can I see every client's action items at once?
On the Action items page, "My actions" in the navigation: "Everything committed to in your meetings, across every client." It is one table with the columns Action, Owner, Due, Client and From meeting.
| Filter | Choices |
|---|---|
| Status | Open, Done, All |
| Owner | Starts on "Assigned to me"; also "Everyone" and "Owner not in the meeting" |
| Client | One client, or all of them |
"Assigned to me" matches the names you have told TrackHeros you answer to, in Settings. "Owner not in the meeting" gathers every flagged item across clients, which makes it a quick weekly check before anything is sent. You can tick items done on this page; editing and deleting happen on the meeting page, inside the client.
Switch the owner filter to "Everyone" and the same page becomes the other half of the list: what clients promised you. The test data they said they would send, the access they would grant, the sign-off they would get from their board. Those are the items that stall a project quietly, and they are easier to chase with the meeting and the date in front of you.
The page reads across clients without blending them. The list is built from your own clients only, every row keeps its client's name, and archived clients drop out. Why that is safe is on client isolation. The Analytics page adds two figures from the same data: action items captured against the previous period, and the items falling due.
Which language are action items written in?
The notes language, like the rest of the summary. English is the default; Arabic, French, Spanish, German, Italian, Portuguese, Ukrainian and Indonesian are the others, set for the account, a client, a recurring meeting or a single meeting. A meeting held in Spanish can have its action items written in Spanish, while one held in Hindi gets them in English or whichever of the nine you choose. Owners keep the names heard in the meeting. The pricing page says which plans include the choice. The full list is on the languages page.
How do action items reach the client?
Through the minutes, which you send. Every meeting's minutes include the action items as a table of task, owner and due date. "Copy for email" puts the minutes on your clipboard on every plan; formal PDF minutes are on paid plans, described on pricing. Nothing is emailed automatically, and there are no share links.
Before the next call, open the client and check what is still open from the last one. The guide to preparing for a client call turns that into a five-minute routine.

Questions
Frequently asked
What does Not an attendee mean on an action item?
The owner's name did not match anyone recorded in the meeting. It is usually a misheard name, or a person who was mentioned but not present, such as a colleague the client will ask. Check it before you act on it, and edit the owner if it is wrong.
Can I edit an action item from the Action items page?
You can tick it done there. Editing the task, owner or due date, and deleting an item, happen on the meeting page inside the client, where you can see the conversation it came from.
Will a deleted action item come back?
No. The confirmation says so: it won't come back if the minutes are rewritten, for example in another notes language or in the other summary shape. Delete only items that were never real commitments.
Does TrackHeros send action items to their owners?
No. Nothing is emailed automatically. The action items go into the minutes, which you send yourself with Copy for email or, on paid plans, as a PDF.
Are different clients' action items mixed together?
Each item belongs to one client and is stored in that client's workspace. The Action items page lists all of them in one table, but every row carries its client's name and you can filter to one client.
