Answer

Who owns an action item in AI meeting notes?

For anyone checking the action items an AI notetaker wrote after a Google Meet or Microsoft Teams call: how TrackHeros decides who owns each item, why it never guesses, what the Not an attendee flag means, how due dates are set, and how to correct an owner it got wrong, on the meeting page or across every client.

TrackHeros sets the owner of each action item from what was said in the meeting, using the name the person had in the call, and it never fills the gap with a guess. This answer is for freelancers, consultants and anyone else who reads the action items after a Google Meet or Microsoft Teams call and wants to know why a name is there, or why it is wrong. The full feature is on action items.

How does TrackHeros decide who owns an action item?

The owner is the person the work sits with when the call ends, named as they were heard in the meeting. If someone volunteers ("I'll send over the API keys"), that is the speaker. If the work is asked of someone ("Tom, can you re-run the import?") and they do not decline, it is the person asked, not the person asking.

The names come from the meeting itself. The transcript carries the speaker names the platform gives each participant, so the owner is written the way that person appeared in the call. When nobody was named or addressed, the item is left without an owner rather than handed to whoever seems likeliest.

Wording that makes ownership unambiguous, in any tool, is covered in how to write action items.

What does "Not an attendee" mean?

The owner's name did not match anyone recorded in the meeting. The chip reads Not an attendee, and its explanation says: "This name did not match anyone recorded in the meeting — verify before acting on it."

There are two usual causes:

Cause Example What to do
A misheard or misspelt name A commitment by Tom written against a name nobody has Edit the owner to the right person
Someone talked about but not present "Priya in finance will send the figures" Keep it if it is a real commitment, or reassign it

The second is often a genuine action, just not one anybody in the room can keep. The flag makes you decide which before the minutes go to a client.

How do I fix the wrong owner?

On the meeting page, open the item's edit button and change the owner; the task and the due date are editable in the same place. An edited item shows an Edited chip, so you can tell it apart from the transcript's version later.

If the item was never a commitment, delete it. The dialog asks "Delete this action item?" and says "It won't come back if the minutes are rewritten." Inside one client, the assistant can also edit or delete an item when you ask in that client's chat.

To find every flagged item at once, open the Action items page and set the owner filter to "Owner not in the meeting". It lists them across every client, each row labelled with its client, and links each one back to its meeting.

How are due dates set?

They are kept as they were said ("end of next week", "after the board meets") and resolved to a calendar date. The Action items page shows the date, or the phrase when it does not point at a date, and marks an item "overdue" or "today" when that applies. The phrase stays because it is what the person actually agreed to.

Why not let the AI pick the most likely owner?

Because a wrong owner is worse than an empty one. An item with no owner gets noticed and asked about. An item with a confident wrong name gets sent to a client, and someone ends up accountable for work they never agreed to do.

The same rule runs through the transcript: a line that cannot be attributed reads "Unknown" rather than taking the most likely speaker's name. More in why the transcript says Unknown. How action items sit in the rest of the summary is on the minutes page.
