Answer

Can I search every client's meetings at once?

For freelancers and consultants with several clients who need to find something said in a Google Meet or Microsoft Teams call without remembering which client it was: what TrackHeros' global search looks through, how every result keeps its client label, how matches by meaning are shown apart, and what the read-only chat across all clients can and cannot do.

TrackHeros can search every client's meetings at once, and it keeps each result attached to the client it came from. This answer is for freelancers and consultants who remember that someone said something about a staging server, or a renewal date, in a Google Meet or Microsoft Teams call, and do not remember which client's call it was. The assistant and search are described in full on search and ask across a client's meetings.

What does global search look through?

Everything your meetings produced, across every client you have. Type into Search everything… in the header and the results come back grouped by kind:

Group What matches
Clients A client's name
Meetings Meeting titles and the invitation text
Action items The task, the owner and the due date as said
In summaries Lines from meeting summaries
In transcripts Lines from transcripts, with the time in the call

A transcript result shows when in the call the line was said. You can narrow the search to one kind, or to one client, at any time.

How are results from different clients kept apart?

Every result carries its client's name, and nothing is merged. Search returns rows; no model reads them and no answer is written from them, so there is no paragraph in which two clients' facts could end up side by side.

That matters more than it sounds. A search for "deadline" across six clients returns six clients' deadlines, and the label on each row is what stops one of them being pasted into the wrong email. Archived clients are left out unless you pick one. Why the cross-client view is read-only, and how each client stays sealed, is on client isolation; the habits that go with it are in how to keep client meeting notes separate.

Can I search by meaning rather than exact words?

Yes. Exact matches come first. Results that mean something similar, without sharing the words, appear underneath in a separate group, Similar in meaning, so you can tell a match from a suggestion. A search for "invoice" can then surface a line about "the bill for September" without pretending it was a hit. The Search by meaning switch turns that group off.

Can I ask a question across all my clients?

Yes, in the assistant's All my clients (read-only) mode. It answers questions such as "which clients have an action item due this week?" with a list in which every row carries its client's label. It never writes one narrative from two clients' meetings, and nothing can be changed from it.

For questions about what was said, open the client and ask there. That chat reads only that client's meetings, answers with citations to who said it and when, and is also where the assistant can edit, tick done or delete an action item when you ask. The cross-client list of action items has its own page, described on action items.

Does search find words in the language the meeting was held in?

Not in the transcript. The transcript is always in English, so search it in English: a meeting held in French or Spanish is transcribed into English line by line, and that is the text search sees. Summaries and action items are searched in the language they were written in, which is the notes language you chose, English unless you picked another. Close to 100 spoken languages are recognised; the languages page lists them, and the nine languages the notes themselves can be written in.
