How to take notes in a Google Meet call: meeting notes in Docs, and the alternatives

For anyone taking notes in Google Meet calls, host or guest: how to create meeting notes in Google Docs from the Calendar event or from a Doc, who they are shared with, what a guest without edit rights can do, how the AI notes some Google plans offer differ, and how a notetaker such as TrackHeros records the call as a participant.

Google Meet has no notepad of its own, but Google Calendar and Google Docs together give every meeting a notes document, pre-filled with the event's details. This guide is for anyone taking notes in Google Meet calls, host or guest, and particularly freelancers and consultants who join clients' calls. It covers creating meeting notes from the Calendar event or from a Doc, who they are shared with, what a guest can do, how the AI notes some Google plans offer differ, and when a notetaker is worth having. The details come from Google's page on adding meeting notes to Calendar events as of October 2026.

How do you create meeting notes for a Google Meet call?

From the Calendar event, or from a Google Doc. All of Google's steps start on a computer.

Starting point Steps What happens
A new event Add description or attachments, then Create meeting notes, then Save Notes attached and shared with guests, including outside your organisation
An existing event Click the event, then Take meeting notes Notes attached; click Share in the Doc to give access
An existing Doc Menu on the event, then Attach a document That Doc is attached
A Google Doc Type @, choose Meeting notes, search for the event (type "next" for your next one) Pre-filled; the organiser can Share & attach, others can only Share

Except when you attach an existing Doc, the notes are pre-filled with the event's details, so you start from the meeting rather than a blank page.

Who can create and see Google Meet meeting notes?

Anyone who can edit the event can attach them; everyone they are shared with can see them. Google lists two reasons you cannot add meeting notes to an event: you don't have permission to edit it, or someone else has already attached meeting notes.

That puts a guest in a familiar position. In a client's meeting you usually cannot edit the event, so the shared notes, if any, are the client's document in the client's Drive, under their sharing. You may be invited to edit it; you may not.

Do meeting notes stay in sync with the Calendar event?

No. Google says changes do not flow either way: renaming the Doc does not rename the event, adding guests in the Doc does not invite them, and moving or editing the event does not update the notes. If a meeting is rescheduled, the notes still carry the old details until someone edits them.

What should Google Meet meeting notes contain?

The event's details at the top, which Google fills in, then the same five parts every time, so any set of notes can be read in half a minute weeks later:

Notes one line per point, with markers: D decision, A action, # figure, Q question
Decisions one sentence each, in the words that were agreed
Actions what – who – by when
Open questions still waiting, and who owes the answer
Next the next meeting, or "none planned"

Write the notes section during the call and fill the last four in the ten minutes after it, while the gaps are still in your head. Put a client's name at the start of the Doc's title if Google's default does not already make it obvious; Drive search reads titles, and "Weekly sync" alone matches every client you have.

For a recurring call, keep one Doc per meeting rather than one long Doc for the series. A single growing Doc is easy to start and hard to search, and a share meant for this month's notes opens every month's.

What should a guest use instead?

A Doc of your own, pre-filled from the event. Type @ in a new Google Doc, choose Meeting notes, and pick the client's meeting: you get the details without needing to edit the event, and the Doc stays in your Drive. Then:

  1. Write markers, not sentences: decisions, actions with owner and date, figures, open questions. Taking notes during a meeting you are also running has the shorthand.
  2. Turn on captions to catch a figure or a name; they help you follow the call but are not a record.
  3. Ask the host about a transcript before the call if exact wording matters; see how to transcribe a Google Meet call.
  4. Send a recap the same day, so both sides hold the record. How to write meeting minutes has the shape.

Keep each client's notes in their own folder. A Drive where Client A's and Client B's meeting notes sit side by side is one wrong share away from a leak.

How do you share notes after a Google Meet call?

Send a recap rather than the raw Doc. Your notes hold half-sentences, reminders to yourself and, sometimes, a line about another client; the client needs the decisions, the actions with owners and dates, and the open questions. Paste those into an email the same day, and ask for corrections by a date.

If you do share the Doc itself, check three things first:

Check Why
Who it is shared with A share to "anyone with the link" travels further than the meeting did
Comment or edit Comment is usually enough; edit lets the record change after it was agreed
What else is in it Notes of yours that were never meant for the client

The follow-up email guide has templates for the recap.

How are the AI notes some Google plans offer different?

They are written by Google rather than by a person, and the host's side controls who receives them. Google's help on its AI meeting notes says the notes are saved in the organiser's Google Drive and attached to the Calendar event, that an eligible Google Workspace edition or Google AI plan is needed, and that the host or a co-host chooses who receives them, from all invited guests to only hosts and co-hosts. As a guest, you get them if they chose to send them.

When is a notetaker worth having?

When you run the meeting yourself and cannot also write, when exact wording will matter later, or when you attend many clients' calls and want the notes in one place you control. A notetaker joins as a participant, so it needs the host's agreement and everyone should know it is there; telling clients you use an AI notetaker has wording.

How does TrackHeros take notes in Google Meet?

The TrackHeros notetaker joins the Google Meet call about two minutes before the start, under a name you set per client, and waits to be admitted if the meeting requires it. It records the call, collects Meet's captions for the speakers' names, and makes a transcript in English from the meeting's language, whichever of close to 100 it is. The summary lists decisions and action items with owners and dates, and a line it cannot attribute reads "Unknown".

The notes are filed under the client in your own TrackHeros workspace, not in the organiser's Drive, so they do not depend on whether you could edit the event. It joins the calls on the calendars you connect for your clients, or a single call whose link you paste in. More on the Google Meet notetaker page, and on whose record it is in when the client hosts, who keeps the notes.

Questions

Frequently asked

Are Google Meet meeting notes shared with everyone invited?

When you create them while creating a new event and save it, Google says the notes are attached and shared with your guests, including people outside your organisation. Added to an existing event, they are attached, and you click Share in the Doc to give access. Created from a Doc, they are not attached until the organiser chooses Share & attach.

Do changes to the meeting notes update the Calendar event?

No. Google says the two do not sync: renaming the Doc does not rename the event, adding guests in the Doc does not invite them, and changing the event does not update the notes. Treat the notes as a snapshot of the event at the time you created them.

Can I take meeting notes from my phone?

Google gives the steps for meeting notes on a computer only. You can read and edit a shared Doc in the Docs app, so the simplest routine is to create and attach the notes from a computer before the call.

Can a guest create meeting notes for someone else's Google Meet?

Not attached to the event, unless they can edit it. Google says you cannot add meeting notes if you don't have permission to edit the event. A guest can still type @ in their own Doc, choose Meeting notes and pick the event, which pre-fills the details, and keep that Doc as their own notes.
