Answer
What happens to my meetings when I disconnect a calendar?
For TrackHeros users about to disconnect a Google or Microsoft calendar from a client: what stops, what stays, what happens to upcoming Google Meet and Microsoft Teams meetings that already have a bot, how access is withdrawn on each provider, and what to do if you want the meetings gone as well.

Disconnecting a calendar in TrackHeros stops new information arriving from it. It does not delete anything, and it does not cancel anything already scheduled. This answer is for freelancers and consultants who are ending a contract, cleaning up a client-issued account, or simply removing a Google or Microsoft calendar, and want to know what happens to its Google Meet and Microsoft Teams meetings. The account model is on every calendar in one notetaker.
What stops and what stays?
The sync for that account stops. Everything already in TrackHeros stays where it is.
| After you disconnect | What happens |
|---|---|
| New invitations on that calendar | No longer arrive |
| Reschedules and cancellations | No longer reach meetings already synced from it |
| Upcoming meetings already synced | Stay, with their bots scheduled |
| Past meetings, transcripts, notes, recordings | Stay with the client they were filed under |
| Other connected accounts | Untouched |
Why do upcoming meetings keep their bots?
Because disconnecting a calendar is not the same as cancelling its meetings. Meetings that had already been synced exist in TrackHeros as their own records, and auto-join applies to them as before. What they lose is the link back to the invitation: if the organiser moves one to Thursday, TrackHeros no longer hears about it.
So, before or straight after you disconnect, open the upcoming meetings that came from that calendar and switch auto-join off for any you no longer want. For a recurring meeting, choose "Every meeting in this series" and one change covers the rest. The meeting page shows which level decided, so you can check.
Does disconnecting withdraw TrackHeros' access?
On Google, yes. On Microsoft, only partly, and you finish the job.
- Google: TrackHeros revokes its access at Google when you disconnect. Nothing more to do.
- Microsoft: Microsoft offers no way for an app to revoke its own permission. TrackHeros deletes its change subscription, stops syncing, and tells you to remove TrackHeros from your Microsoft account's app permissions yourself. Until you do, the permission you granted still exists on Microsoft's side, though TrackHeros no longer uses it.
What was granted in the first place was read-only calendar access, nothing to do with mail, files or contacts. More in does an AI notetaker need calendar access.
How do I delete the meetings as well?
Delete the client workspace, or your whole account. Disconnecting keeps the meetings, which is usually what you want: the notes from work you did stay useful after the contract ends.
Deleting a client removes its database rows, its stored recordings and transcripts, and the copy held by the meeting-bot service. Other clients are not touched, because nothing of theirs was ever inside that workspace. Deleting your account runs the same cascade for everything. How the workspaces are separated is in client isolation, and what we promise about your data is on the privacy section of the homepage.
Can I connect the account again later?
Yes, under the same client or a different one. Sign in again from the client's page and the sync starts from scratch, reading from yesterday to about two months ahead. Meetings filed before you disconnected stay with the client they were filed under; they are not reattached. How Google and Microsoft accounts work together under one sign-up is in connecting Google and Outlook calendars to one notetaker.
Questions
Frequently asked
Does disconnecting one calendar affect my other clients?
No. Disconnecting stops the sync for that one Google or Microsoft account. Every other connected account, under the same client or any other, keeps syncing as before, and their meetings and bots are untouched.
