Can two clients share one Google account in my notetaker?
For freelancers and consultants whose single Google account, often a personal Gmail, receives meeting invitations from more than one client: why TrackHeros will not attach one account to two clients, the three workable options and their trade-offs, and which one suits which situation. One Google account cannot belong to two clients in TrackHeros. This answer is for freelancers and consultants whose one account, often a personal Gmail, receives Google Meet and Microsoft Teams invitations from several clients, and who want each client's notes to land in that client's workspace. The account model is on every calendar in one notetaker.
Why can't one account belong to two clients?
Because every meeting on an account's calendar is filed under the account's client, and a meeting filed under two clients would be one meeting in two sealed workspaces. Each connected account belongs to exactly one client, and the database enforces it. Connecting an account that is already attached elsewhere is refused: "already connected to another client. Disconnect it there first." Why the workspaces are sealed is on client isolation.
What are my options?
Three, each with a cost.
| Option | How it works | The catch |
|---|---|---|
| A separate account per client | Each client's invitations go to an account connected under that client | You need the accounts; many freelancers already have one per client |
| The shared account under one client | Everything on it is filed under that client | The other client's meetings land in the wrong workspace unless you intervene, meeting by meeting |
| The shared account as your own calendar | Its meetings arrive unfiled and private; you file each one under the right client before it happens | Nothing is joined until you file it |
A separate account per client
The cleanest. If a client has issued you an account, ask them to send invitations there, and connect it under that client. How to run several accounts at once is in one notetaker for several Google accounts.
The shared account under one client
Workable only when nearly every meeting on it belongs to that client. For the exceptions, switch auto-join off for the meeting and send the bot yourself: paste the link into Send to meeting and pick the other client. Remember that a meeting synced from a client calendar cannot be refiled, so anything you miss stays under the first client.
The shared account as your own calendar
Connect it under Your own calendar in Settings. Its meetings arrive unfiled, in a private space only you can see, and the bot does not join one until you file it under a client with File it. For a recurring meeting you can remember the choice for the series, so occurrences that arrive from then on are filed automatically; ones already waiting are filed one at a time. File a meeting before the call. More in your personal calendar and your client calendars.
Which option should I use?
Use separate accounts wherever a client has given you one. For a personal Gmail that several clients invite, connect it as your own calendar: filing a meeting is one choice of client, recurring calls can file themselves after the first, and nothing lands in the wrong client by default. Keep a shared account under one client only when the other client's meetings on it are rare.
Can I file meetings by hand from a client calendar?
No. Filing by hand exists only for meetings from your own calendar. A meeting synced from a calendar connected under a client is filed under that client automatically, and once a meeting has happened it cannot be moved, because its transcript, notes and recording are stored under the client it was filed in. That is why the choice of where to connect a shared account matters more than it looks.
