Can the meeting notes be in a different language from the meeting?

For freelancers and consultants whose meetings are held in one language and read in another: how TrackHeros chooses the language of the notes on Google Meet and Microsoft Teams, two common cases worked through, rewriting notes already written, and what the exports and the transcript look like.

The notes of a meeting do not have to be in the language the meeting was held in. TrackHeros writes them in whichever of its nine notes languages you choose, and the meeting's own language only decides when you ask it to. This answer is for freelancers and consultants whose meetings are held in one language and read in another, on Google Meet or Microsoft Teams.

How do I choose the language of the notes?

With a setting at one of four levels, the most specific of which wins: the single meeting, the recurring meeting, the client, then your account. Your account starts as English. The meeting page says which level decided, so a surprise has an explanation one click away.

The nine choices are English, Arabic, French, Spanish, German, Italian, Portuguese, Ukrainian and Indonesian. The free plan writes the notes in English; Pro and the plans above it choose any of the nine.

What does "same as the meeting" do?

It writes the notes in the language the meeting was mostly held in, when that is one of the nine and clearly the main one. A client whose calls are sometimes in Spanish and sometimes in English can be set to "same as the meeting" and get each set of notes in the language of its call. When a meeting is in a language outside the nine, or no language clearly dominated, the next level down decides; a meeting in a language TrackHeros cannot write notes in goes through that case.

Which cases does this suit?

Two come up most.

A meeting in the client's language, notes in yours. A client in Madrid holds its weekly call in Spanish, and your team reads English. Leave the client on English. Each meeting is transcribed, rendered into English line by line, and summarised in English, with one line on the transcript page saying it was translated from Spanish.

A meeting in English, notes in the client's language. A client in Lyon talks to you in English, but the minutes go to a manager who reads French first. Set that client to French. The summary, decisions, action items and formal minutes come out in French, and the exported minutes are headed "Compte rendu de réunion", with French dates.

Can notes already written be rewritten in another language?

Yes. A summarised meeting's notes can be written again in another of the nine languages, from the same transcript. Nothing about what was said changes; the decisions and action items are the same, written up in the new language.

What do the exports and the transcript look like?

The exported minutes follow the notes language: PDF, Google Doc and Notion pages use its headings and dates, and Arabic exports read right to left. A Slack recap's text follows the notes language too; its headings are in English, or in Arabic when the notes are Arabic.

The transcript is in English whatever the notes language, because every meeting's transcript is rendered into English line by line. That keeps one transcript everybody on the account can read and check the notes against. The headings and dates for each notes language are shown on the languages page, and what the minutes contain is on meeting minutes.

Questions

Frequently asked

Can a meeting held in Spanish get English notes?

Yes. With English as the notes language for the client, the account or the meeting, a meeting held in Spanish is transcribed, rendered into English, and summarised in English. English is the default, so nothing has to change unless you set another language earlier.

Can an English meeting get notes in French?

Yes. Set French as the notes language for that client, recurring meeting or call, and the summary, decisions, action items and minutes of an English meeting are written in French, with French headings and dates in the exported minutes.

Can I rewrite notes in another language after the meeting?

Yes. A meeting that has already been summarised can have its notes written again in another of the nine notes languages. The new notes are written from the same transcript, so nothing about what was said changes, only the language it is written up in.
