TrackHeros

Answer

Can other people in the meeting see the AI notetaker?

For freelancers and consultants whose clients ask whether a notetaker can sit in a call unseen: how the TrackHeros bot appears to everyone else in Google Meet and Microsoft Teams, from the lobby to the participant list, the optional greeting it posts in the meeting chat, what it does not announce, and how anyone in the call can have it removed.

Yes. Everyone in the call can see the TrackHeros notetaker, because it joins as a participant like anyone else. This answer is for freelancers and consultants who use it in client calls on Google Meet and Microsoft Teams and want to know exactly what the other people in the meeting see, and when. How to tell clients before it joins is in how to tell clients you use an AI notetaker.

Where do other participants see the notetaker?

In the participant list, under its name, for as long as it is in the call. There is no hidden mode and no way to join without a name.

The name is "TrackHeros Notetaker" unless you have changed it for that client. Each client can have its own, such as "Priya's notetaker", so the client's team sees a name that makes sense to them; renaming the notetaker bot covers how.

Two platform details:

  • Waiting to be let in. If the meeting makes guests ask to join, or has a lobby, the host sees the bot's name in the admission request and decides. Until someone admits it, your meeting page reads "Joining…". If nobody does, it gives up after a while and the meeting reads "Not let in"; what if nobody admits the notetaker? explains the rest.
  • Labels in Teams. The bot joins without signing in to a Microsoft account, and Teams shows "Unverified" next to the name of anyone who joins that way (Microsoft's page on anonymous participants). Meetings that only admit signed-in accounts keep the bot out.

Does the notetaker announce itself?

Only if you ask it to. Each client has a "Welcome message", posted in the meeting chat when the bot joins: up to 500 characters of plain text, no emoji. Leave it empty and the bot says nothing in the chat.

A good one says whose notetaker it is and what happens to the notes:

Hi, I'm taking notes for Priya. The summary stays in her workspace for this project. Ask her if you'd like me to leave.

Apart from that greeting, the bot posts nothing in the meeting chat.

Will the meeting show a recording notice?

Not because of the notetaker. Google Meet and Microsoft Teams notify participants when their own recording starts (Google, Microsoft). TrackHeros does not use that feature: the bot records as a participant, and the recording plays back inside the TrackHeros app. So the platform's notice is not what tells people it is there. Its name in the participant list does, together with the welcome message and what you say at the start of the call.

Can someone in the meeting remove it?

Yes, the same way as any participant. In Google Meet, a host or co-host chooses "Remove from the call" on it; when host management is off, anyone in the organiser's domain can (Google's steps). In Microsoft Teams, the People list has More options, then "Remove from meeting" (Microsoft's steps).

You can also take it out yourself from the meeting page with "Remove the notetaker". It leaves at once and cannot be sent back into that call. What it recorded until then is kept and summarised. If the person who asked wants the recording gone too, delete it afterwards; that removes the recording only, and the transcript and notes stay. The Google Meet and Microsoft Teams pages cover the rest of what the bot does in each.
