Answer
Can a booking link add a Google Meet or Teams link automatically?
For anyone sharing a TrackHeros booking link who wants each appointment to arrive with its own video link: when it creates a Google Meet link, when it creates a Microsoft Teams link, why a personal Outlook.com calendar cannot offer Teams, the other locations a link can use, and whether the notetaker joins the call it booked.

Yes. A TrackHeros booking link can give every appointment its own Google Meet or Microsoft Teams link, created at the moment someone books. Which one depends on the calendar the link writes the appointment into. This answer is for freelancers, consultants and recruiters who share a booking link on Google or Microsoft calendars and want each call to arrive ready to join. Every setting a link has is on the booking links page.
Which calendar decides whether it is Google Meet or Teams?
The one the appointment is written into, chosen per link. The calendars a link only checks for conflicts make no difference.
| The link writes into | Google Meet | Microsoft Teams |
|---|---|---|
| A Google calendar, Gmail or Workspace | Yes | No |
| A Microsoft 365 work or school calendar | No | Yes |
| A personal Outlook.com calendar | No | No |
So a link for Client A's calls, written into the Microsoft 365 account Client A gave you, offers Teams, and a link written into your own Google calendar offers Google Meet. The link needs write access to that one account, which you grant on Google's or Microsoft's own screen when you choose it. The calendars it only checks stay read-only. How a link reads Google and Microsoft calendars together is in one booking link for Google and Outlook calendars.
Why can't a personal Outlook.com calendar create a Teams link?
Because an app can only create a Teams meeting from a calendar event where an organisation has set its calendars up for it. Microsoft's documentation on online meetings in Outlook calendars describes that as something an organisation does, with Teams acquired as part of a Microsoft 365 business or enterprise suite. A personal Outlook.com or Hotmail calendar has no organisation behind it, and cannot create Teams meetings for apps.
TrackHeros greys the Teams option out for those calendars and says why, rather than booking a call that turns out to have no link. If you need Teams, write the link into a work or school calendar. If any video call will do, write it into a Google calendar and use Google Meet.
What else can a booking link use?
Four other locations, on any calendar:
- Your own meeting room link, pasted once and used for every booking of that link.
- A phone call, either way: you call them, or they call a number you give.
- In person, at an address you set. Lock the page to your time zone so nobody books a nine o'clock that means nine o'clock somewhere else.
- Ask the person, who says where they would like to meet when they book.
When does the person booking get the link?
Straight away, in the calendar invitation and in the confirmation e-mail. Each appointment gets a link of its own, and a reschedule moves the same calendar event, so the link stays the same when the time changes.
Google sometimes takes a few seconds to create a Meet link. When it does, the confirmation goes out at once and the link follows in a second e-mail. If a link is set to create a private event and e-mail the person rather than invite them, the e-mail from TrackHeros is where they find the details.
Does the notetaker join the call the link created?
It can. A booked Google Meet or Microsoft Teams call becomes an ordinary meeting in TrackHeros, under the client whose calendar it was written into, so the notetaker joins it and writes the notes like any other meeting. Each link chooses: follow your usual auto-join setting, always send the notetaker, or never send it.
A call booked into your own calendar lands in your private "No client" space and gets the notetaker only when the link says always. A phone call or an in-person appointment has nowhere for the bot to sit, so it is booked but not recorded.
